Sample FBO Briefing
Background:
A phone call to the FBO is a great idea but the message they take is only as good as the person who took the message.
We all know how a CSR can get 'maxed out' with calls on the radio, bosses, passengers, and dealing with the 'Mavericks' of the world leaning over the counter trying to impress them.
An E-mail is OK, but e-mail addresses change, and often, when things are busy at an FBO, no one is checking the incoming e-mails or your e-mail can easily get lost among the junk e-mail and spam.
With a Fax it is all right there in black in white. What they read is what you sent.
A fax can easily be turned over to the line crew if appropriate, versus a dispatcher's hand written notes.
The primary benefit of using FltPlan.com's FBO Briefing, is that it's a universal form, no matter who you send it to.
After you set up your Default Fax Information, you will not need to type in the same information every time you go somewhere. (i.e. Name, N#, phone numbers, etc.)
Instructions for using FBO Brief:
To get started, press the FBO Brief button on the left side of the Main Menu Page.
To save time, you can save a Default Fax/Briefing page for all future faxes. You can find this button at the bottom of the flight plan listings on the FBO Briefing Page. This default will hold whatever information you deem important for all your future briefings (until you change
your defaults).
You can include personal information so the FBO can contact you should there be a problem with your request. At the very minimum, you
should include a Contact Name. We can't imagine an FBO giving much credence to an anonymous fax. Also, on the default page, select how many crewmembers are on board the aircraft. This will keep the passenger count correct.
To send an FBO Briefing, select which flight you want to "brief"on the FBO Briefing Page and press the "Press Here When Done" button. As with our free flight planning and Passenger Briefing services, we are trying to make this FBO Briefing as easy to use as possible. Flight information relative to the selected flight plan will automatically be added to the fax. All your contact information will be filled in if you completed your default information. With your flight and contact data already done, all you need to do is select which FBO you will be using and check the
Service Request Boxes pertinent to your flight. Space is provided to add a short note about each request if needed. | IMPORTANT: REMEMBER TO SELECT THE FBO YOU PLAN TO USE. NO SENSE SENDING A FAX TO THE WRONG FBO. |
You can then choose when you want the fax to be sent. Use the dropdown box in the "When To Send This FBO Briefing" section to see the various options. You can submit a request to the FBO that they contact you when they receive your faxed requests. Select a checkbox at the bottom of the FBO Briefing Data Entry page and add your appropriate phone number or email address. When you are done filling out the form, press the "Press Here When Done" to submit your request.
Other Information:
It's FREE ! You can send a fax to any FBO for which we have a fax number.
The Fax is sent from our computer and phone line at the time that you selected.
No Fax number available
If there is an FBO that you want to send a fax to, but there is no fax number, have the FBO call or e-mail us with their current fax number.(1-800-FLTPLAN or Support@FltPlan.com)
You can send us fax numbers for FBOs and we will add them to our data base.
Changed or canceled flights
If you sent a fax to an FBO, and then there is a change to your flight (i.e. arrival time, # of Pax), you should send a new fax and include a remark in the comment section that it is an update to an earlier fax.
If your trip cancels and you've already sent the fax, you need to call the FBO and tell them you won't be arriving as scheduled.
If you delete a flight plan (from the Delete Flt Plan section) and the fax has not been sent, the scheduled fax will not be sent.
